Events Information Hosting Information  

Greetings, Children of Twilight!

If you are interested in hosting an event for Elendhirin, whether for our kindred or for the entire community, please take the time to review the following information and follow all instructions before announcing your event.

1. Outline your event.
     -- name of event (ex: ~Twilight's Inspiration~)
     -- event genre (ex: poetry contest)
     -- event type (ex: Community Event)
     -- event time (ex: 01 Feb. - 26 Feb.)
     -- prizes (ex: 1st - 30k; 2nd - 20k; 3rd - 10k)
          -- the Primogen must pre-approve prizes provided by the clan bank (if more than 100k)
     -- any other important information (ex: kindred may not participate)

2. Do your research.
     -- if your event involves any research, include any necessary information
          -- ex: for Trivia contest, include questions and answers to be used

3. Get your event approved.
     -- send your outline to the Event Master for approval
          -- send outlines to the Primogen in absence of Event Master
     -- wait for approval before announcing the event

4. Plan ahead for assistance.
     -- if you need assistants, secure them ahead of time
     -- have alternates ready just in case assistants don't show up
     -- remind your assistants a short time before the event starts

5. Make arrangements ahead of time.
     -- if planning for a certain area, secure it ahead of time if possible
     -- if you must rent an area, be prepared to pay for it yourself
          -- Primogen must approve of this cost, to have it covered by clan
     -- if your event is planned for a locked area, make arrangements to have it opened

6. Have a backup host.
     -- be sure someone can fill in for you in case you cannot make it yourself
     -- give the backup host full details of the event to prepare him or her

7. Handle rejection calmly.
     -- if someone cannot help you, do not take it personally
     -- if someone cannot participate, do not take it personally

8. Be prompt and prepared.
     -- be early for your event and make sure assistants are, also
     -- make sure assistants have what they need and know what to do
     -- if your event is one with a deadline, be prompt in judging and awarding prizes

9. Submit event records.
     -- record your event (all details of what happened, regardless of what was planned)
          -- if your event did not take place at all, simply note that as your event record
     -- post event results on Clans & Subpaths (C&SP) board
          -- if kin-only event, post to clan board instead
     -- submit record of event to the Event Master and Star Recorder
          -- include: event name, summary, most recent posts #s on CE/C&SP/clan boards
          -- send records to the Primogen in absence of the Event Master
